How To Get Paid as a Virtual Assistant

When starting your Virtual Assistant business, there are SO many things that need to be considered. An important one, of course, is getting paid! Read on to find my simple and easy options for getting paid efficiently in your Virtual Assistant business.

Invoicing

After some online research, I decided on Freshbooks for my invoicing and accounting system for my VA business. It’s super simple to set up clients and send invoices in their preferred currency (and remembers that currency for the next time you invoice). When invoicing time comes, you can easily duplicate a previous invoice sent to a particular client, and edit as necessary for the current invoice to be sent.

Other fantastic features of Freshbooks include:

  • Allowing you to quickly set a Due Date for your invoices so your clients.

  • Easily add a discount to your invoice.

  • Send your invoices in whichever currency you and your client prefer to work in.

  • Multi-Language Invoices. Have a client who speaks French? Send them an invoice in their preferred language.

  • Requesting a Deposit on your invoice upfront.

  • Create a Recurring Template which generates invoices automatically based on the frequency you choose. This is useful for subscription-based work, or ongoing work that occurs on a recurring basis.

When creating an invoice, you have the option to select yes or no to accepting online payments in the right hand settings menu. As all of my clients pay me directly through Wise (see next section) I select no; but this would of course depend on how you would like to be paid.

Getting Paid

So, you have clients across the globe. How do you get paid? All of my clients pay me through my Wise account which is a borderless bank account. As most of my clients are in the USA and I am based in Australia, I have set up my own American bank details through Wise which my clients can pay into directly. You can receive payments in ten currencies in Wise. After you have received payment, you can convert to your local currency of choice at a low fee, then send to your bank account instantly.

Processing Payments in Freshbooks

Like everything in Freshbooks, it’s super simple to process a payment.

  1. Click Invoices in left hand menu.

  2. Select the relevant invoice in the invoice list.

  3. Select More Actions, than Add a Payment.
